Venue Hire Terms and Conditions


The following terms and conditions must be adhered to in the hiring of the school premises.

1. The hirer shall pay the full amount as stipulated by the school, and shall not be entitled to offset any

amount owing to the school against any liability, whether past or future, of the school to the licensee.

2. The hirer shall occupy the part(s) of the premises agreed upon as a non-exclusive licensee and no

relationship of landlord and tenant is created between the hirer and the school by this licence.

3. The hirer shall not sub-licence any of the premises under the license.

4. The hirer is responsible for ensuring that all members of the public attending their class/event at the

College sign in; the hirer should keep their own signing in and out records.

5. In the event of a fire or unplanned evacuation, the hirer must ensure that all members of the public

attending their event/class leave at the nearest exit and make their way to the Assembly point. Once

evacuated, the hirer should complete a register and confirm with the St Catherine’s College member

of staff that everyone has been accounted for. The College member of staff will notify everyone when

the building can be reopened.

6. The hirer shall not use the premises for any purpose other than that agreed upon in the licence, as set

out in the booking.

7. Any additional uses of the premises not agreed in writing by the school will result in the immediate

termination of the licence.

8. The school shall retain control, possession and management of the premises and the hirer has no

right to exclude the school from the premises.

9. The hirer shall be responsible for all matters relating to health and safety and first aid and shall be

responsible for those in attendance during the specified time and must take out its own public liability

insurance with a reputable insurer approved by the school for a minimum of £1million, and, where

requested by the school, shall provide of copy of the relevant insurance, first aid certificate and

Safeguarding Policy no less than 15 days before the start date of the license.

10. DBS checks are carried out on all College staff. Organisations using our facilities for the benefit of

children or vulnerable adults are required to have an enhanced DBS check and Safeguarding Policy

in place and for us to hold a copy on file.

11. The hirer shall not conduct, nor permit or suffer any other person to conduct, any illegal or immoral act

on the premises, nor any act that may invalidate any insurance policy taken out by the school in

relation to the premises.

12. The hirer shall indemnify and keep indemnified the school from and against:

a. any damage to the premises or school equipment;

b. any claim by any third party against the school; and

c. all losses, claims, demands, fines, expenses, costs (including legal costs) and liabilities,

arising directly or indirectly out of any breach by the hirer of the licence or any act or omission

of the hirer or any person allowed by the hirer to enter the premises

13. Any cancellations by the hirer received with less than 1 days’ notice will not be refunded

14. Any cancellations by the school made with at least 1 days’ notice will be refunded.

15. The hirer will read the emergency evacuation procedures and be ready to follow them in the event of

a fire or other similar emergency.

16. The hirer will leave the premises in the condition it was found in, leaving the area clean and tidy and

not leaving any of their own equipment behind.

17. Footwear which is likely to cause damage to the College floors must not be worn (for example, no

outdoor shoes in the Gym, Pe2 or Dance Studio).

18. Alcohol must not be consumed or sold on the premises unless specific approval is given from the

school and licenses applied for from the council.

19. The hirer shall not display any advertisement, signage, banners, posters or other such notices on the

premises without the prior written agreement from the school.

20. If the hirer breaches any of the terms and conditions the school reserves the right to terminate the

licence and retain any fees already paid to the school, without affecting any other right or remedy

available to the school under the licence or otherwise.

21. The hirer shall observe the maximum capacity rules of the part(s) of the premises being hired and not

allow this to be breached.

22. No structural alterations to the College premises, fixtures or fittings will be permitted and notices must

only be fixed to boards. No sellotape is to be used on the walls.

23. The hirer will acquire all appropriate additional licenses for any activities they are running, including

those required for use of any third party intellectual property.

24. The hirer is responsible for carrying out any risk assessments of the premises relating to the activities

they are running.

25. The hirer must be in attendance at all times and must accept responsibility for any damage caused to

the College grounds, playing fields, buildings, fixtures, fittings, furniture and equipment resulting from

the letting. Every precaution must be taken to avoid such damage. The hirer will be required to meet

the cost of making good to any damage.

26. The hirer shall comply with all applicable laws and regulations relating to its use of the premises.

27. This license shall be governed, construed and interpreted in accordance with the laws of England and

Wales.

28. If there is any doubt that the field isn’t safe due to bad weather, lettings can be cancelled at short

notice and hirers will be refunded.

29. Dogs are not permitted on the field or in the playground.

30. Any music must be turned down after 8pm so that it doesn’t disturb the residents.

31. Hirers must be responsible for ensuring that everyone taking part in lettings involving the College

playing field and playground are adequately supervised and that only spectators connected with the

event must be admitted. Casual spectators not connected with the letting must not be admitted.

32. The school and the hirer irrevocably agree that the courts of England and Wales shall have exclusive

jurisdiction to settle any dispute or claim arising from this license.

33. Our buildings and grounds are no smoking site, and it is the hirer’s responsibility to ensure that their visitors are made aware of this.
